Subject: Formal Complaint – Unacceptable Professional Conduct
Dear Service Manager,
I am writing to formally express my disappointment and frustration regarding a phone call I made to your service department on 16/3 at approximately 17:31
During the call, I spoke with an individual who identified themselves as an ex-sales manager. Rather than assisting with my service request, this individual’s conduct was dismissive and profoundly unprofessional. The conversation culminated in them hanging up the phone on me while I was still speaking.
As a BMW customer, I expect a level of courtesy and professionalism that reflects the brand's reputation. To have a member of your staff—particularly one highlighting a management background—behave so rudely is unacceptable. This experience has significantly damaged my confidence in Sytner Worcester’s commitment to customer care.
I would appreciate a formal response explaining how this matter will be addressed and what steps will be taken to ensure that such poor service is not repeated.

Software and sales issues
My Mini would not close the drivers side window when being parked.
The problem was quickly identified and rectified by the service team. I was provided with a clean and impressive courtesy mini with plenty of charge. I returned to Sytner and found that my mini had been thoroughly valeted, washed and polished. I was kept informed throughout the day and received a mini service video explaining the condition of the ‘undercarriage’
All the above was overseen by Thomas Kelly. I had ‘bent’ Thomas’s ear about my experience of Sytner prior to this visit. I found the sales experience as quite objectively poor. Once I had purchased my mini there was no interest in rectifying my problems. I contacted Mini directly and found them not able to sort the issues. Software issues persisted and found little point in trying to rectify with Sytner.
Enter Thomas Kelly. He listened identified the issues. Installed the vehicle menu so I could access features, the manual etc. etc. Thomas took time at the end of the day to explain the basics. My experience with my car had been a quantum leap forward and what should have been two years ago.
I am 68, not often impressed by modern customer service philosophy, but I was impressed by Mr.Kelly and the service experience.
My feedback is meant as constructive. The only negative experience, on this occasion, is the appalling Sytner AI call handling system which has to be one of the worst I have encountered. You don’t have to be Einstein to work out you have to ask for’sales’ to navigate your way.

I was welcomed on entry to the service…
I was welcomed on entry to the service department and offered a drink. My service advisor Emma came over to take me to her desk and we reviewed the MOT requirements and my request to replace the batteries in my car keys to avoid any issues in the next 12 months. I was kept up todate over the 90 minutes via my phone and offered fresh drinks throughout my wait.
Emma was very professional and helpful and the overall experience was outstanding.

Automated phone system
The staff are excellent, polite and friendly, but the automated phone system is enough to put me off buying another BMW, even to ask a question you have to leave a message and wait for someone to call you back, the only line that is manned by a person is sales, not good customer service

Car booked in for supply/fit new…
Car booked in for supply/fit new battery after nearly 10 years use. Keys given to receptionist who advised that we would be called once the job had been completed.
Not long after, received a text with an app on which I could track the progress of the work through to completion.
Returned to collect car which had been washed and vacuumed.

In for oil service at BMW Worcestershire, all good except car came back with 3 oily hand prints on my cream leather seat WTF, had to inform service staff who cleaned them off. Very poor from the service department, you must respect people's car more.

Very good buying experience
My wife and I had a really good buying experience at Sytner Worcester BMW. Joe Greaves was the sales executive who attended to our needs. He was polite, considerate and very well informed about the product. Not “pushy” in any way whatsoever. We were well supplied with tea and coffee.

The staff were welcoming and efficient.
My problem is with the franchise that has insufficient courtesy cars to serve their customers.
I have an ongoing problem with a 750e, a high value car. Last time I was given an electric mini with hardly any charge. This time despite booking it in 2 weeks in advance I would have had to wait a further 5 weeks for a courtesy car. I live 10 miles away and I find this unacceptable. I don’t blame the staff who must deal with numerous disgruntled customers like myself.
